Documents Needed Before Joining

Before you can join a cruise ship, a specific set of documents must be completed, verified, and often physically carried with you to embarkation. Missing or expired documents are one of the most common — and most avoidable — reasons a joining date gets delayed.

Passport

Your passport must typically have at least 6 months of validity remaining from your planned join date, and several blank visa pages. Cruise lines will not process your paperwork with a passport nearing expiry.

Seaman's Book (Seafarer's Identity Document)

This is an official maritime identity document, separate from your passport, required for most cruise line contracts. It's issued by your country's maritime authority and can take several weeks to process, so it's worth starting this early.

STCW Basic Safety Training Certificate

Standards of Training, Certification and Watchkeeping (STCW) is a mandatory safety certification for anyone working on a ship, covering fire prevention, first aid, personal safety, and survival techniques. This must be completed at an accredited training center before joining.

Pre-employment medical examination

Cruise lines require a medical fitness certificate from an approved medical center, following international maritime medical standards. This typically includes a general physical exam, vision and hearing tests, and screening for conditions that could affect fitness for sea duty.

Visa requirements

Depending on your nationality, the cruise line's flag state, and the itinerary's home port, you may need one or more visas (commonly a US C1/D visa for ships operating out of US ports). Visa processing can take weeks to months, so this needs early planning.
